I collect and store a small amount of information to provide personalised English lessons and communicate with parents. This may include:

  • Student and parent/guardian names and contact details

  • Student age and date of birth

  • Notes about learning needs or support requirements (for example, SEND information)

  • Lesson notes, progress records, and feedback

  • Payment records and correspondence

  • Deliver and plan effective lessons

  • Communicate with parents and carers

  • Keep business and accounting records

  • Meet safeguarding responsibilities

Lawful basis for using your information

I use personal information under one or more of these lawful bases:

  • Consent: You have given clear permission for me to use your information.

  • Contract: The information is needed to provide the lessons you have booked.

  • Legal obligation: I may need to keep records for tax or safeguarding purposes.

Where I get personal information from

  • Directly from parents or adult students

  • Occasionally from a school or educational partner (with consent)

 

How I store your information

 

Your information is stored securely on password-protected devices and encrypted cloud storage (Google Drive).
Paper notes, if any, are stored safely and shredded when no longer needed.

 

How long I keep your information

 

I keep student records for up to two years after lessons finish, unless I need to retain them longer for legal, safeguarding, or tax purposes. After that, data is securely deleted or destroyed.

 

Who I share information with

 

I only share information when necessary, for example:

  • With parents or carers about a child’s progress

  • With safeguarding professionals if required by law

  • With trusted services I use to run my business:

    • Zoom

    • Microsoft Teams

    • Google Workspace / Google Drive

    • italki

    • Stripe

    • PayPal

    • Calendly

    • WhatsApp

Each of these services has its own privacy policy and data security controls.
I do not sell or share your data with anyone else.

 

Your data protection rights

 

You have the right to:

  • Ask for a copy of your personal information

  • Ask for corrections if any details are inaccurate

  • Ask for your information to be deleted

  • Limit how I use your data or object to its use

  • Withdraw consent at any time

If you make a request, I will respond within one month.
